Storage Protocol

Step-by-step protocol for storing paper and steel offline wallet backups with tamper-evident seals and custody log entries.

Purpose

This protocol describes how Utility Birch Line clients prepare, seal, and document physical cryptocurrency backups before and between professional custody visits. Follow it to keep log entries consistent and seal comparisons meaningful.

Phase 1: Preparation

  1. Select a single room with stable humidity for initial inventory.
  2. Gather all backup containers without opening sealed items unnecessarily.
  3. Label each container with a provisional code (A, B, C) in pencil on the exterior sleeve only—never on seed material.
  4. Photograph the room’s hygrometer if one is present.

Phase 2: Sealing

  1. Apply numbered tamper-evident tape across every opening edge of envelopes and capsule lids.
  2. Record tape serial numbers on the log’s reference sheet before closing final flaps.
  3. Press tape firmly for thirty seconds along the full length; corner gaps invite false tamper readings.
  4. Wax seals are optional overlays for high-traffic drawers—note wax colour in the log.

Phase 3: Log entry

Each entry must include:

FieldExample
Date2025-08-20
ActionInitial seal application
Container codeA
Witness initialsMP / client
Environmental note54% RH, 22°C

Phase 4: Movement

When relocating a container:

  1. Schedule a witness if breaking seals.
  2. Photograph seal state immediately before opening.
  3. Document reason for access in one complete sentence.
  4. Re-seal with new tape serials and cross-reference prior entry numbers.

Phase 5: Review cadence

Storage conditionSuggested review
Interior closet, stable humidityEvery six months
Exterior wall cabinetQuarterly
Shared family custodyQuarterly with joint witness
Bank vault onlyAfter each vault visit

Materials we supply at visits

Acid-free logbooks, numbered tape rolls, wax kits, adhesive photo pockets, and hygrometer calibration stickers. Clients supply storage furniture and backup media.

When to request professional documentation

If serial numbers no longer match, if humidity exceeded 70% for more than a week, or if an unauthorized person may have accessed storage, schedule a Seal Verification Session before further handling.
